The Winter Gardens is 4.9 acres of connected event space in the middle of Blackpool, with ten distinct rooms under one roof. The Empress Ballroom, built in 1896, takes 3,250 for a reception or 996 on rounds of twelve. Olympia and the Conference & Exhibition Centre carry the biggest numbers in the building, the Baronial Hall is the character room and a licensed wedding venue, and the Spanish Hall, Renaissance Room and Derham Lounge each suit something different again.

We know this building on a live day. We've worked five events inside the Winter Gardens — a corporate winter ball, Christmas parties and a national rally — which is the only way to learn how a crowd actually moves between these rooms, where a queue forms, and how fast a capture point has to work when a session comes out all at once.

At Empress Ballroom scale, one capture point queues. We would rather bring two: the magic mirror with its red-carpet entrance near the dance floor, and a selfie pod nearer the bar. That keeps everybody moving and doubles what your guests go home with. In the very large rooms the mirror belongs off the main thoroughfare with the carpet leading to it, or half the room never notices it is there.

Some practical things we plan around here. The Spanish Hall, the Renaissance Room and the Baronial Hall are all on the first floor, which changes our carry and how long we need before doors. The Arena and the Derham Lounge both have direct street-level access and are the easiest rooms in the building to load into. And the audio guest book wants a side table slightly apart from the music, in a lounge or breakout room, where people can hear themselves — at an awards evening it collects the things nobody says into a microphone.

We work to the building's own rules as standard rather than learning them on the night: the right goods entrance for the space, vehicle passes displayed, unloaded and off site, and certificates and a risk assessment sent to your organiser before we arrive.

One honest note on aerial film. The Winter Gardens sits in the middle of town, close to Blackpool Airport and among tall structures, so a drone flight is permission-dependent and often not possible. We're CAA-licensed and insured and we'll do the work of asking properly, and if the answer is no the drone element is refunded in full.
