Lancaster House Hotel sits at Bailrigg on the edge of Lancaster University's campus, about three minutes from junction 33 of the M6 — a four-star hotel in its own gardens, part of the English Lakes family group. We have worked here seven times now, across two weddings, formal dinners and balls, a milestone celebration and a pair of university conferences, so this is a building we know rather than one we are guessing at.

The Bowland Suite is the room we know best. It takes up to 200 for a ceremony, seats 130 to 150 for a wedding breakfast and is quoted from 50 to 200 for conference use, and that range is exactly what we plan around: we set the magic mirror for the room as it will be late in the evening, not as it looks in the afternoon. The mirror needs a footprint of about 10ft by 8ft and one ordinary socket, and it works best along a wall near the dance floor with its red carpet leading to it, so the queue never crosses the floor.

The Dalton Suite — 80 to 100 for a ceremony, 60 to 80 seated — suits a smaller wedding, a milestone birthday or a private dinner. In a room that size the selfie pod usually beats the mirror: it is a five-foot square, quick to use and nothing that dominates a space where people are mostly there to talk. Both the digital and print pods work the same way; one shares straight to phones, the other hands every guest a print.

For conferences and awards evenings the conference centre is genuinely easy to work in. It is air-conditioned and sound-proofed with natural daylight and tall ceilings, and Training Room 1 opens into the Centre Lounge to give 190 square metres at 4.5 metres high, seating 180 theatre-style. That is far more headroom than any of our kit needs, and there are 18 meeting rooms in total, so a drinks reception, a dinner and a breakout can all run alongside each other.

Outside, the gardens and lawns give our photographers proper range without anybody having to travel — portraits away from the party, group shots on the grass and the hotel itself behind you. Bailrigg is clear of controlled airspace too, which makes aerial photography and film here one of the more straightforward jobs we do; we are CAA-licensed and insured, we check the day's notices before every flight, and because the university campus is next door we always agree the flight with the hotel first. With 79 bedrooms and four apartments on site the evening runs long, which is why the audio guest book earns its place on a side table in a quieter lounge — the messages get played back over breakfast the next morning.
