When to Book Christmas Party Entertainment (Earlier Than You Think)

Once you actually count them, there are only around three genuinely contested Friday and Saturday evenings in December before Christmas — the rest of the month is either too early to feel festive or too close to the day itself for most parties. Every company, venue and friend group wants the same handful of dates, which is why Christmas party entertainment gets booked up far earlier than most people expect.

It's a simple supply and demand problem. There's only one calendar, everyone's competing for the same narrow window, and unlike a wedding date that can move to suit availability, most Christmas parties are anchored to a specific week because of school holidays, staff availability or a venue's own diary. That's what makes early booking worth the effort, even when December itself feels a long way off.

What's usually gone by October

By the time October arrives, the premium December Saturday evening slots are largely booked. Anyone planning a big works do or a large family gathering on one of those three or four contested weekends needs to be enquiring in the late summer or early autumn, not waiting until the office Christmas party email goes round in November. Weekday dates and daytime slots hold on for longer, simply because there's less competition for them — which is worth bearing in mind if your date has any flexibility at all.

This isn't scarcity marketing — it's just how a single December plays out when demand for entertainment is concentrated into a few weeks. The venues themselves see exactly the same pattern with their own diaries, which is part of why so many function rooms and hotels are also fully booked for December by early autumn.

What a deposit does

A deposit doesn't lock you into every detail of the event — it just holds the date. You don't need a final headcount, a confirmed venue layout or a finished guest list before booking; you need a date and a reasonable idea of what you want. The balance is due two weeks before the event itself, so there's plenty of time to firm up the rest once the date is secured. This matters most for anyone booking on someone else's behalf — an office manager arranging the works do, or one friend organising for the whole group. A deposit means the date is safe while the rest of the group sorts out numbers, contributions or sign-off, rather than everyone needing to agree on every detail before anything is confirmed.

Weekday daytime = the value play

If your date has any flexibility, a weekday daytime booking is genuinely the best value option on the calendar. Booth hire starts from £179 for weekday daytime hire specifically — that price doesn't apply to weekday evenings or weekends, where December demand pushes rates up. For a lunchtime office party, a daytime family gathering, or any celebration that doesn't need to run into the evening, this is worth building the date around rather than defaulting straight to a Saturday night.

It's also usually the easier date to actually get. Because so much demand is squeezed into the handful of December Friday and Saturday evenings, weekday daytime availability tends to survive much later into the autumn — sometimes right up until the date itself, if you're lucky. If your celebration doesn't have to be an evening event, checking a weekday first can save both money and stress.

Enquiring early costs nothing and doesn't commit you to anything beyond a conversation, but it does mean you're not finding out in November that every Saturday in December is already gone.
