Candid Camera Events Hire Contract
1.0 DESCRIPTION OF SERVICES
The Client hereby agrees to engage Candid Camera Events to provide entertainment and/or photography services for the Client's event. The details of the event, including date, time, venue, and services provided, will be outlined in the booking confirmation.
2.0 SELFIE POD SERVICE
Space Requirements: A dedicated area of 1 metre x 1 metre, with a standard 13amp socket within 2 metres of the setup location, is required for the duration of the hire. The pod should not be placed in areas exposed to the elements.
Unattended Use: Selfie Pods are generally unattended during the event. Candid Camera Events is not liable for any misuse or tampering with the equipment by guests. Due to the unattended nature of the service, equipment or printer failure may not be immediately rectifiable, and Candid Camera Events cannot guarantee on-site resolution.
Equipment Failure: There will be no recompense or claim for the Client in the event of equipment or printer failure. Candid Camera Events will endeavour to reprint any images upon collection of the Selfie Pod or provide a full duplicate set of prints after the event. A link will be provided for digital image downloads.
Refundable Prop Deposit: Where selected, a refundable deposit of £30 will be taken for the props box. This deposit will be refunded in full within 7 days post-event, provided all props are returned in good condition. Damaged or missing props will result in deductions from the deposit.
3.0 AUDIO GUEST BOOK SERVICE
A £100 authorisation will be taken on the date of postage of the Audio Guest Book to the Client. This amount is ring-fenced and released if the Audio Guest Book and any supplied accessories are posted back within two days of the event using the recorded delivery label provided. If the Client chooses another return delivery service, Candid Camera Events cannot be responsible for any loss or damage in transit. Failure to comply with these conditions may result in the £100 deposit being retained.
4.0 PHOTOGRAPHY SERVICE
Service Duration: Photography coverage will be provided for the duration of the event as specified in the booking form, including pre-event setup and post-event takedown if necessary.
Delivery of Images: All images will be delivered digitally via an online gallery unless otherwise specified in writing. Images will be hosted for 6 months post-event, after which retrieval may incur a £100 storage fee.
Usage Rights: The Client will receive a personal use license for the images. Candid Camera Events retains copyright and may use the images for promotional purposes unless otherwise agreed.
Model Release: The Client grants Candid Camera Events permission to use photographs for promotional purposes. The Client is responsible for ensuring guests have agreed to be photographed.
Editing and Retouching: Standard editing and retouching are included. Additional retouching requests will incur an extra charge.
Exclusivity: Candid Camera Events shall be the sole provider of photography services at the event unless otherwise agreed.
Event Breaks: If photography exceeds 5 hours, the Client agrees to provide meals and breaks for the photographer in accordance with UK regulations.
Liability Limitations: Candid Camera Events is not responsible for missed shots due to factors outside their control, such as guest interference or equipment malfunction.
5.0 MODIFICATIONS TO PRINTING
Candid Camera Events will make every effort to rectify any printing interruptions during the hire period. However, no compensation will be provided for interruptions due to guest interference or equipment misuse.
6.0 SETUP AND DOWNTIME
Services require a setup and takedown time of approximately 60-90 minutes. The hire time will commence at the agreed time. Downtime due to technical difficulties or guest misuse will not be compensated.
7.0 CANCELLATION POLICY
If the event is cancelled or rescheduled, all funds will be applied to the rescheduled date as a credit. However, any special props or equipment ordered for the event may not be refundable.
8.0 LIMITATIONS OF LIABILITY
8.1 General Limitation: Candid Camera Events’ liability is limited to the amount of the service fee. Candid Camera Events will not be liable for indirect, special, or consequential damages.
8.2 Service Interruptions and Equipment Failure: Candid Camera Events is not liable for service interruptions caused by circumstances beyond their control, including guest interference or power supply issues.
8.3 Unattended Service Clause: Candid Camera Events will not be responsible for equipment malfunctions during unattended services.
8.4 Health and Safety: The Client is responsible for ensuring the venue complies with health and safety laws. Candid Camera Events is not responsible for accidents or injuries due to unsafe conditions.
8.5 Intellectual Property and Data Loss: Candid Camera Events is not liable for data loss due to equipment failure, theft, or software issues.
9.0 INDEMNIFICATION
The Client agrees to indemnify and hold Candid Camera Events harmless from any claims, damages, or expenses arising out of the services provided unless caused by the proven negligence of Candid Camera Events.
10.0 FORCE MAJEURE
Candid Camera Events shall not be liable for any failure to perform due to events beyond their reasonable control, such as acts of God, pandemics, or extreme weather conditions.
11.0 INSURANCE
Candid Camera Events’ Public Liability Insurance (PLI) is underwritten by Sharrocks, with a limit of indemnity of £10,000,000 within the United Kingdom. The latest insurance documents can be downloaded from the client area under "Files".
12.0 DATA PROTECTION
Candid Camera Events complies with GDPR regulations. Personal data and images will be stored securely and used only for the purposes outlined in the agreement.
13.0 ACCESS, PARKING RESTRICTIONS, AND SETUP LOCATION
13.1 Client Responsibility for Access and Setup Space: The Client is responsible for providing adequate access and space for setup, including stairs, lifts, and parking details.
13.2 Unforeseen Access Issues: If unforeseen access issues result in delays or difficulties with setup, Candid Camera Events reserves the right to adjust the hire time or charge additional fees.
13.3 Parking Restrictions: The Client is responsible for ensuring suitable parking for unloading. If parking restrictions prevent setup, Candid Camera Events reserves the right to refuse service without a refund.
13.4 Additional Charges for City Centre Venues: A £30 surcharge will apply for city centre venues. The Client is also responsible for any parking fees, tolls, or additional charges incurred by Candid Camera Events.
14.0 FINAL PAYMENT AND NON-PAYMENT PENALTIES
The final balance is due 7 days before the event. Late payments will incur interest at the rate of 2% per month. Non-payment may result in cancellation of services.
15.0 CHANGES TO EVENT DETAILS
Any changes to event details, including venue or timing, must be submitted in writing no less than 14 days before the event. Candid Camera Events reserves the right to adjust fees or services based on the impact of these changes.
16.0 CLIENT-PROVIDED EQUIPMENT
Any equipment provided by the Client must be approved by Candid Camera Events prior to the event. Candid Camera Events will not be responsible for issues caused by client-provided equipment.
17.0 ALCOHOL AND GUEST BEHAVIOUR
The Client is responsible for ensuring that guests behave in a manner that is safe and respectful of the equipment and staff. Candid Camera Events reserves the right to discontinue service if guests are intoxicated or acting unruly, without any obligation to refund fees. The Client will be responsible for any damages caused by guest behaviour.
18.0 GOVERNING LAW
This Contract shall be governed by and construed in accordance with the laws of the United Kingdom.
19.0 STAFF WELFARE, REFRESHMENTS, AND MEALS
The Client agrees that if refreshments such as drinks or food are available at the event, Candid Camera Events staff may consume them at no additional cost. This includes both alcoholic and non-alcoholic beverages.
For events where the total working time exceeds 4 hours (including travel, setup, takedown, and return travel time), Candid Camera Events staff will require breaks of approximately 15-30 minutes, including meals, toilet breaks, or smoke breaks at the staff’s discretion.
If the Client informs Candid Camera Events in advance that refreshments will not be available, Candid Camera Events will endeavour to bring refreshments with them. If no prior notice is given and refreshments are not available, staff may take reasonable breaks off-site to obtain food and drink. Temporary service interruptions may occur during these breaks, and Candid Camera Events will not be held responsible for any missed photos or moments.
If uninterrupted service is required, additional staff may be arranged at extra cost. During breaks, urgent issues may be reported to Candid Camera Events via WhatsApp, SMS, or phone at 07492885199.

This Agreement is effective as of the date of booking and by booking, the client is in agreement to the above terms and conditions of service
